A high-volume administrative team is seeking a reliable and detail-oriented Scanning Clerk (Grade 3) to support document processing and distribution efforts. This role is critical in managing incoming documentation—both physical and digital—to ensure accurate and timely routing to appropriate departments. Ideal candidates will be organized, self-directed, and comfortable working independently in a structured, fast-paced environment.
Handle and process high volumes of incoming mail (up to 1,200 pieces per week)
Sort and organize physical and electronic documents from various sources
Scan, upload, and distribute documents to appropriate departments (e.g., retirement, fund operations)
Work closely with mailroom staff to ensure accurate document flow
Maintain proper categorization and storage of documents in compliance with internal procedures
High School Diploma required
Bachelor’s degree not required
Strong attention to detail and accuracy when handling various document types
Solid data entry skills and experience with digital file systems
Ability to work independently and manage time efficiently
Critical thinking and problem-solving skills to assess document content and routing needs
Proficient in Microsoft Outlook and Adobe
Comfortable managing and manipulating digital files (e.g., scanning, saving, uploading PDFs)
Willingness to learn internal systems and adapt to new technologies
Work Environment: 100% onsite
Schedule: standard hours Monday–Friday, 8:00 AM – 4:30 PM
